Set up your sync settings

After you connect QuickBooks and your first store, TruSync walks you through a setup wizard. Each step is revisitable later from Settings.

The setup steps

  1. Connect — confirms your QuickBooks and store connections.
  2. Customer — choose the QuickBooks customer every order from this store maps to. TruSync uses a single customer per store rather than creating a QuickBooks customer per shopper.
  3. Accounts — map order line items (income, shipping, discounts) to your QuickBooks chart of accounts.
  4. Payments — map each payment method your store offers to a QuickBooks payment method. Shown only for stores where payment methods apply (skipped for marketplace stores like Amazon and eBay, since Invoices don’t carry a payment method).
  5. Tax — map the tax jurisdictions your store collects for to QuickBooks tax rates. Shown only when your store handles its own sales tax (skipped for marketplace stores, since the marketplace already remits it).
  6. Settings — general sync behavior: refund restock policy, whether refunds auto-sync, alert email, and related preferences. Order sync and inventory sync themselves run automatically once a store is connected — there’s nothing to turn on here.
  7. Deposits — confirms how TruSync should group settled orders into Bank Deposits for your store’s payment model.
  8. Products — map your store’s products to QuickBooks items, or set up how new products should be handled.
  9. Backfill — optionally sync historical orders from before you connected the store, if you want them in QuickBooks too.

Unmapped orders block, they don’t guess

If an order arrives with a payment method or tax jurisdiction you haven’t mapped yet, TruSync doesn’t guess — it creates an order exception and waits for you to map it. This is deliberate: auto-mapping to a default account just creates rework later when you have to go back and fix orders that landed in the wrong place.

FAQ

Do I have to complete every step before orders start syncing? Connect, Customer, and Accounts are required. Payments and Tax only appear when relevant to your store’s payment model. Settings, Deposits, and Products have sensible defaults you can adjust later.

What happens if I skip mapping a payment method? Orders using that payment method create an order exception instead of syncing, until you map it.

Can I change these settings after finishing setup? Yes — every step is revisitable from Settings.
