Trudy, your AI assistant
Trudy is the AI assistant built into your TruSync dashboard. She’s aware of the page you’re on and can answer questions or make changes without you having to hunt through settings screens.
What Trudy can help with
- Explaining why an order became an exception, and what to map to resolve it.
- Walking through account, payment method, and tax jurisdiction mapping.
- Creating a missing QuickBooks account for you when a mapping needs one — a Shipping Income account, an Undeposited Funds account, or a bank account for your payouts. She creates them to standard QuickBooks types, so you don’t have to pick an account type yourself.
- Reading your store’s own tax settings — whether your listed prices include tax, whether shipping is taxed, your currency and country — so her advice on shipping income and sales tax fits how your store actually charges. She reports what your store is set to do; she doesn’t give tax advice. Today this works for Shopify stores; for other platforms she says she can’t read these settings and asks you rather than guessing.
- Explaining a Bank Deposit or why a specific order posted the way it did.
- Turning on bank-deposit reconciliation for you during setup — say “set this up for me” on the Bank Deposits step and she’ll pick up the payout source, the QuickBooks bank account and the schedule in one go.
- Making settings changes on your behalf when you ask, the same way you’d make them by hand.
- Offering quick replies. When Trudy asks a question with a few clear answers, they appear as buttons under her message. Click one and it is sent exactly as if you had typed it. The options are always spelled out in her message too, and you can always type your own answer instead.
How Trudy works through setup
During setup, Trudy recommends and applies rather than handing you a list to choose from. Where your QuickBooks chart of accounts or your store’s own configuration already settles an answer — which account product revenue posts to, that card payments deposit to Undeposited Funds — she makes the change and tells you what she did and why.
She never names something in your QuickBooks after the store platform’s internal word for it. A QuickBooks payment method is permanent and shows in your reports, so where a platform’s word covers several things — Shopify’s “manual” payments can be cash, cheques or bank transfers — she asks which you take and names the payment method after your answer.
She reads your QuickBooks before she asks you anything. If two accounts could do the same job — two discount accounts, say — she checks which one your recent documents actually use and picks that one, telling you the evidence. If your payments to a bank account already show where they land, she uses that. She only asks when your books can’t settle it: both accounts are in use, or neither has any history yet.
That leaves the decisions that are genuinely yours: which of your bank accounts a payment lands in when your books are silent, who besides you should get alert emails, how far back to sync your order history. Those come one at a time, with her recommendation attached, not as a menu. On the history question she only offers start dates your store’s platform can actually reach, and recommends one based on your books’ close date or the month your financial year starts in QuickBooks.
Whenever she makes a change for you, she tells you in the same reply, naming the account, mapping or item she set.
Anything she sets up this way you can change afterwards, either in the matching settings screen or by telling her. If you’d rather approve each step yourself, say so and she’ll check with you before writing.
Where to find her
Trudy is available from a chat panel inside your TruSync dashboard on every main page, and she has context on whatever page you’re currently viewing — you don’t need to explain what you’re looking at.
FAQ
Does Trudy have access to my QuickBooks data? Trudy can see the same TruSync account data you can from your dashboard, used to answer your questions and make the changes you ask for.
Can Trudy fix an order exception for me? Trudy can walk you through resolving the underlying mapping, or make the mapping change directly if you ask her to.
Will Trudy change things during setup without asking me first? She applies the settings that have one correct answer — the standard QuickBooks accounts your books already assume, the deposit account for card payments — and tells you what she set and why, so you can change it on the spot. She asks first about anything that’s genuinely your call, and before she’d be inventing a name that stays in your QuickBooks, since QuickBooks never fully deletes an account or a payment method. Tell her you’d like to approve each change and she will.
Is there a record of what Trudy changed? Yes — changes Trudy makes are recorded the same way changes you make yourself are.
