Order sync vs. inventory sync
Order sync and inventory sync are two different mechanisms that both run automatically once your store and QuickBooks are connected. They’re built as separate systems, not as separate switches — understanding the difference is about how data flows, not about choosing which one to use.
Order sync: store → QuickBooks
Order sync takes orders placed on your store and creates the matching transaction in QuickBooks — a Sales Receipt or Invoice, depending on your store’s payment model. It’s a one-way flow: store activity produces QuickBooks transactions.
Inventory sync: QuickBooks → store
Inventory sync runs the other direction. QuickBooks’ quantity on hand is the source of truth, and TruSync pushes quantity changes out to your connected storefronts — regardless of whether the change came from an order, a manual adjustment, or another tool that writes to QuickBooks.
Why they’re built as separate mechanisms
Keeping them structurally separate means order sync never has to guess at inventory logic, and inventory sync works consistently no matter what caused the QuickBooks quantity to change — a TruSync-created Sales Receipt and a bill entered by your bookkeeper are treated exactly the same way once they’ve changed quantity on hand in QuickBooks. This is an engineering separation, not a merchant setting — both run together as part of how TruSync keeps your books and your storefront in agreement.
Why this matters if you have more than one store
Because inventory sync reads from QuickBooks rather than from the order that triggered a change, a sale on one store connected to TruSync updates QuickBooks, which then pushes the new quantity to every other store mapped to that same QuickBooks item — not just the store where the sale happened.
FAQ
Do I need to turn on inventory sync separately from order sync? No — both work automatically once your store and QuickBooks are connected. There’s no separate setup step.
Does inventory sync react to anything besides orders? Yes — any change to quantity on hand in QuickBooks, including manual adjustments and bills, propagates out the same way.
